Four eyes as a process. Not a call across the room.

Every documentation step is signed. It is clear who recorded what and when. For every doctor in the organisation.

Team

Visible immediately.

As soon as an entry is signed, everyone on the team caring for the patient can see it. What has been recorded does not have to be asked again at the next station.

Data

Each facility separate.

The data is stored encrypted in a German cloud at STACKIT. Each facility is separated from the others.

Connection

One interface.

The connection is made through a generic interface, not through individual solutions for each system. Your PMS stays.

What it takes

Little technology. A good introduction.

Five things and you are ready to go. Tap a symbol.

An iPad Air.

11 inch, 5th generation, M2 or M3. DocPad is developed, tested and validated for these.

  • No patient data is stored on the device
  • No other apps besides DocPad

How a pilot works.

Seven steps from the first conversation to regular operation. You can see the first days on site in more detail below.

  1. 1. Initial conversation

    • You tell us what you hope to get from DocPad.
    • We clarify which practice management system you work with.
    • If we don't yet have an interface to your PMS, the start may be delayed. We will tell you this right at the beginning.
  2. 2. Visit to your practice

    • We get to know each other in person.
    • We accompany your team through a day of everyday practice.
    • Together we decide which doctors and which areas DocPad starts with.
  3. 3. Pilot contract and preparation

    • Pilot contract with a fixed start and end date, plus the data processing agreement.
    • You name a medical assistant as Key User. She is your internal contact person for DocPad.
    • We coordinate the technical side with your IT service provider.
  4. 4. Kick-off Day 1

    • The DocPad team introduces itself.
    • Time for questions and answers.
    • Lunch together.
    • DocPad live and setup of the iPads.
  5. 5. Training from day 2

    • Up to two days, depending on the number of participants.
    • Your Key User receives more in-depth training and can later train new colleagues themselves.
  6. 6. Accompanied start

    • For up to three days after the kick-off, we work alongside you. How long depends on how confident your team feels.
    • After that come fixed appointments: after about three days, after two weeks and after five weeks.
  7. 7. Regular operation

    • Final review meeting.
    • Fixed contacts for medicine, technology and organisation.
    • Transition from the pilot to the regular contract.

What we are often asked.

Does DocPad replace our practice management system?

No. DocPad is not a practice management system and does not want to be one. Billing, appointments and archive continue as usual.

Where is our data stored?

DocPad is hosted in the STACKIT cloud in Germany. All connections are encrypted via TLS, and the data is also encrypted at rest. Each facility's data is kept separate from that of other facilities.

Can we also take on privately insured patients?

Not at the moment. The patient must be registered in the PMS and covered by statutory health insurance.

What happens if the internet goes down?

DocPad does not run without internet, and we would rather say so beforehand than afterwards. So keep a spare iPad and a contingency plan ready.

How does the start work?

Before first use, there is training for the whole team, with quick guides and a cheat sheet for the desk. A local administrator in your practice handles the setup, and the connection to your PMS is made once.
